Create a prospect quotation
You can create a quotation for potential customers and record them on a prospect account. This means you don't have to create new customer accounts that you might never use.

You must first create a generic customer account in the Sales Ledger for all your prospect quotations (and pro forma invoices). You then specify this as the Prospect account in the SOP settings Default Accounts tab.
- You enter the details of a prospect quotation in the same way as you would enter a normal quotation in Sage 200. However, as there is no customer account, you must enter a postal address for the quotation.
- If the quotation is accepted by the customer, you can then convert the quotation to a sales order, and create a new account for the customer.
- You must have created an account for your prospect quotations in the Sales Ledger.

You must have chosen to Allow quotations and pro formas to be entered for Prospects and specified the prospect account in the SOP settings Default Accounts tab.
Create a prospect account

First, create an account for prospect customers.
- Open Sales Ledger > Sales Accounts > Enter New Account..
- Give the account the name Prospect, or something more appropriate to your organisation.

Set this account as the prospect account.
- Open Sales Order Processing > SOP Utilities > System Set Up > SOP Settings.
- Go to the Default Accounts tab.

Enable Allow quotations and pro formas to be entered for prospects.
- Select your customer prospect account.
Create a quotation for a prospect

To enter a quotation for a prospect, use either:
- Sales Order Processing > Quotations > Enter New Quotation for Prospect.
- Sales Orders Processing > Quotations > Enter New Quotation, and select Prospect account.
- Enter the Postal name and contact details for the potential customer.

Enter the rest of the quotation in the same way as you would normally.

If you later convert the quote to a sales order, you can create a new customer account using the same contact details.
