Change the due date and references on customer transactions

Use this to change the Due date, Ref and 2nd Ref on customer transactions. This only updates the customer transaction and not transactions in other ledgers.

Note: To change anything else, use Correct Customer Transactions. See Correct posted customer transactions.

How to

Find the transaction to change

  1. Select the customer account using the Code, Short Name or Postcode drop-down lists.

    • All unallocated transactions are displayed.
    • If no transactions are displayed, this means that they've all been allocated.
  2. To filter the list of transactions, use one or both of these options:
    1. Choose the Transaction type (invoice, payment, etc.) from the drop down list.
    2. Enter the transaction date or a date range using the Date From and Date To boxes.

Change the reference

For each transaction Reference or Second Ref that you want to change, click in the field and enter the new reference.

Change the due date

For each transaction Due date that you want to change, click in the field and enter the new date or select it using the date picker .

Change an allocated transaction

To change an allocated transaction, you must unallocate it first using the Amend Allocations screen. To do this:

Open: Customers > Amend Transactions > Amend Customer Allocations

  1. Choose the customer from the drop-down lists.

  2. Find the transaction to change. Search by:

    1. Type - choose from the drop-down list.

    2. Date - enter the transaction date or use the date picker .

    3. Reference - enter the reference.

  3. Click Display.

  4. Select a transaction or session.

    If the transaction was allocated in more than one allocation session Details of the all receipts matched to invoices and saved together., all the relevant sessions are displayed.

    The Alloc Type shows whether the transaction was allocated by you or by a Sage 200 process, such as contra entry or write off.

  5. Click Edit. This opens the allocation screen and displays the details of the transactions allocated in the session.

  1. Change the Allocation value to 0.00.

  2. Find the corresponding Debit or Credit transaction, and change the Allocation value.

    to 0.00.

  3. Click Save.


Useful info

About changing transaction references and dates

As long as a transaction hasn't been allocated, you can change its Due date, Reference or Second Reference.

To change an allocated transaction, unallocate it first.

About due dates

The Due date is calculated from the Payment Terms set on the customer account (Payment tab). The Due Date shows you when an invoice is due to be paid according to the terms you have agreed with your customer. This helps you manage your customer debts.

You can change the Due date when you enter an invoice.


What happens when I

Change the references

The customer transaction will be displayed with the new references in customer lists, workspaces, enquires and reports. You'll be able to use the new reference to find the transaction.

Note: The references will not be changed for the related transactions in other ledgers, such as nominal transactions.

Change the due date

The transaction will be shown on Due Date reports and workspaces using the new due date.
