Stock control reports
The following reports are accessed from the Stock Control Reports menu. Additional reports, such as the Stock Monthly Trading Figures report are generated from on-screen information. Others such as the Stock Import Opening Balances report are automatically generated when Sage 200 completes certain processes.
Status
There are many status reports you can use to determine the position of stock in terms of the quantities and values held.
If you are using multiple locations, the quantities are shown for each warehouse and bin.
Open: Stock Control > Reports > Status.
This report lists each stock item and the stock quantities. This covers the total quantity in stock, the amount allocated and the amount available as free stock. Stock item values are also provided.
This report lists all items that have a negative stock value. This can only occur if the stock item is set to Allow negative stock. The report shows the details of the transactions that created the negative stock level.
This report shows the buying price of stock items, the quantities involved and the date of purchase.
Use the Valuation report to see your stock item levels and their value. You can produce the report in two ways:

Current stock valuation report.
This displays your stock item levels and their value at the time the report is generated.
Use this to see the current value of your stock.

Retrospective stock valuation report.
This displays your stock item levels and their value at the end of a specified date in the past.
Use this to see the value of your stock as it was in the past. This can be useful if:
- You have back dated your stock movement to a previous month and you need to include these late stock movements in your monthly figures.
- You have forgotten to run the current stock valuation report on the last day of the month, and it is required for audit purposes for example.
- You want reconcile your stock valuation with the nominal ledger stock balance for a previous accounting period.
Note: Stock items with a zero stock level are excluded from both reports.
What is included in the reports
The current stock valuation report includes both confirmed and unconfirmed stock. The retrospective report only includes conformed stock.
Confirmed stock items are where the cost of an item is already known and recorded. This occurs when:
- Stock items have been bought and the supplier's invoice had been recorded in Sage 200.
- Stock items have been returned to a supplier and the credit note has been processed in Sage 200.
- Stock items have been added in Sage 200 at a specified cost.
- A work order has been entered (using Sage 200 Manufacturing) and the manufacturing cost is known.
Unconfirmed stock items are where goods have been received, but the actual cost is not known. This occurs when:
- Stock items from purchase orders have been entered as received, but the supplier's invoice has not been processed in Sage 200.
- Stock items from purchase returns have been entered as despatched, but the credit note has not been processed in Sage 200.
- Where the manufacturing process is finished (using Sage 200 Manufacturing) but not all the costs are known.
This report lists all stock items that have allocations outstanding. The recipient and required quantity are shown as well as the date the allocation was recorded.
This report helps assess the need to replenish stock items that have fallen below their re-order level, bearing in mind alternatives can be issued if required.
Stock items are shown with their current stock level, re-order level and available stock (free stock). Additional details about the preferred supplier are provided. For each stock item the alternative items and their stock levels are listed.
This report lists stock items that have fallen below their re-order level and have suppliers of the item specified for them.
Note: Any item that does not have a supplier specified for it is omitted from the report.
This report lists those items that have not sold since a specified date. The sales date is entered when you initiate the report.
This report lists each stock item and the profit made from sales. The purchase and sales values (quantity sold/purchased and value sold/purchased) are also provided with each listed stock item.
The profit is shown either as a percentage of revenue or cost, depending your setting for profit calculation in the Stock Control settings Options tab.
Catalogue
The catalogue reports are straightforward listing reports.
Open: Stock Control > Reports > Catalogue.
This report lists all stock items and their related details.
This report lists stock items that have suppliers specified for them. The supplier details are shown with the date of the last order and the last buying price.
Note: Any item that does not have a supplier specified for it is omitted from the report.
You can only produce this report if you are using search categories and have linked these to stock items. The report lists each stock item linked to a search category. Both the search category and associated values are shown.
This report lists all product groups detailing the code, description, stock type, costing method and batch/serial type for each product group.
You can only produce this report if you are using search categories and have linked them to product groups. The report lists each product group that has a search category assigned to it. Both the search category and associated values are shown.
You can print a bar code label for each stock item that has a bar code specified on the stock record.
Use this report to view stock items that have associated cross-selling items. The report lists individual stock items with their cross-selling items.
Use this report to view stock items that are cross-selling items. The report lists stock items which are cross-selling items, and the stock items they are associated with.
Use this report to view preferred items for each customer account.
Batch/serial items
There are several reports available if you are using batch/serial numbered items to trace stock from sales to purchase.
Open: Stock Control > Batch/Serial Items.
- Batch/Serial Locations and Quantities.
- Batch/Serial Item Status.
- Batch/Serial Allocations.
- Item Sell by Date Report.
- Item Use by Date Report.
- Item Settings for Batch/Serial.
- Stock Transactions Batch/Serial Numbers.
- Stock Transactions History (archived) Batch/Serial.
There are two reports: you can report on all batch/serial numbered items in a warehouse or you can report on an individual item.

Transactions
Open: Stock Control > Reports > Transactions.
The Transaction History reports list stock items set to use a movement history, and any transaction details associated with the items such as movements and adjustments. This includes details such as the item code, quantity, movement type.
There are two reports:
- Transaction History shows the current history.
- Transaction History (Archived) shows the archived history.
The Simple Stock Transaction History reports is similar to the Transaction History, but only shows stock movements and not adjustments.

- Simple Stock Transaction History shows the current history.
- Simple Stock Transaction History (Archived) shows the archived history.
Shows you a list of all sales (and returns) per stock item.
Shows the when the cost price of your stock items was updated.
There are two reports:
- Stock Average Cost History shows the average cost history.
- Stock Standard Cost History shows the standard cost history.
Shows a list of stock items that have not been included in any transactions.
Stocktake
The following reports provide a means to manage the stocktake process from identifying stock items due for stocktake through to printing the actual stocktake results.
Open: Stock Control > Reports > Stocktake.
This report displays the stock items due for stocktake. This is based on the next stocktake date (stocktake cycle) set for each stock item. The report lists stock items, their stocktake cycle and the date the last stock count occurred for each item. If you are using multiple locations, the stock item bin is also shown.
Note: Stock counts cannot be recorded for batch/serial numbered items. The Stocktake Required report lists all items but does not indicate whether an item is a batch/serial numbered item.
This report is applicable if you are using multiple locations. The report is a straightforward list that displays the status of the stocktake at each warehouse.
Shows you all stock items that haven't had a stock take recorded for them in Sage 200.
Set Up
The following are listing reports.
Open: Stock Control > Reports > Set Up.
This report is applicable if you are using multiple locations. The report provides a list of all warehouses and bins that exist in the Stock Control module.
This report is applicable if you are using search categories. The report provides a list of all search categories, and their associated values, that exist in the Stock Control module.
