Import and export stock related records

To help get Sage 200 set up and to speed up the creation of records, you can import product groups, stock items and stock opening balances. This is especially useful if you're moving to Sage 200 from another system, you need to create a large number of records in one go, or you have information that's maintained in another system and needs to be added to Sage 200.

For each type of import, we have provided:

  • An example CSV file.

    The simplest way to import records is to replace the your data in the sample file with your own records, as all the heading and cell formats are already correct

  • A file structure file.

    This file contains all the rules for the required data format for each type of import.

Rules

  • Data can only be imported once. If you try to import the same records again, the records will show as Invalid on the report.
  • The data must be in the correct format as outlined in the file structure.
  • Some imports have mandatory fields. These fields must be complete for all records.
  • Some imports rely on other records already existing in Sage 200. For example, product groups must exist before you can import stock records.
  • Valid records are imported even if the a file contains some invalid records.
  • Invalid records are shown on the invalid import report. You can then make the required changes and import again.

What you can import

Product groups

When you import the product groups, you can choose which nominal accounts to use by default. If any of the product groups in the import file don't have a nominal account specified, then the defaults are used.

Tip: If you're importing new product groups and new stock items, you'll need to import the product groups first. Sage 200 can't import stock items if the product groups don't already exist.

Stock items

Stock items can be imported and exported using a CSV file.

Note: You must first import or create the product groups for the stock items that you will import.

Tip:

When you import the stock items, you choose which warehouse(s) the items are stored in. To prevent your stock items being assigned to wrong warehouse, it's a good idea to create a CSV file for each warehouse.

You can choose multiple warehouses, but don't forget, that'll mean all the items in the CSV file will be stored at all the warehouses selected.

Opening balances

Opening balances update the quantity in stock and your buying price (used to value your stock). You enter the balance for each warehouse and bin (if the item's stored in more than one). If you have opening balances for stock items that are stored in bins that you haven't yet created in Sage 200, you can choose to allow Sage 200 to create the bins from the import file.

You can only do this once per stock item per warehouse or bin.

Supplier price lists

Importing supplier prices is a quick way to update your supplier prices. This updates the List Price specified for the linked supplier for all the stock items in the file.
