When customers or suppliers change currency

This rare situation normally occurs when an existing customer or supplier changes from their existing currency to the euro currency. When an existing customer or supplier changes currency there will be a period of time when transactions are still outstanding on the existing account in the original currency, but new transactions must be raised in the new currency.

What you need to do

  1. Create a duplicate account for the customer or supplier, copying across all the customer or supplier details. Note: Sage will not copy any transactions to the new record.
    • Enter a new account reference for the duplicate account.
    • Select the new currency for the account.

      You can either select Make a euro duplicate when duplicating the account, if the account is to use euro currency, or select the required currency by amending the account once you have created it.

  2. Place the original customer or supplier account on hold. This is so that you cannot accidentally process new transactions against it.

    Continue to process existing transactions on this account until they are fully paid.

  3. Hide the account. When all existing transactions are fully paid, stop using this account. If you hide the account, this removes from the drop lists so it can't be selected on any forms.

  4. Raise new transactions on the duplicate account.

Create a duplicate account

Duplicate a customer account

Open: Customers > Create & Amend Accounts > Create Customer

  1. Enter a Code for the new account you want to create.
  2. Click Duplicate.
  3. Select the customer account that you want to duplicate.

  4. Select which information should be copied to the new customer account.

    • Make a euro duplicate will set the new account's currency to use the euro.
    • You can choose to duplicate memos, attachments, credit information, contact information, and alerts.
  5. Click OK to create the new account.
  6. Edit the new account if required.

Duplicate a supplier account

Open: Suppliers > Create & Amend Accounts > Create Supplier

  1. Enter a Code for the new account you want to create.
  2. Click Duplicate.
  3. Select the supplier account that you want to duplicate.

  4. Select which information should be copied to the new supplier account.

    • Make a euro duplicate will set the new account's currency to use the euro.
    • You can choose to duplicate memos, attachments, credit information, contact information, and alerts.
  5. Click OK to create the new account.
  6. Edit the new account if required.

Place the original customer or supplier account on hold

Open: Customers > Create & Amend Accounts > Amend Customer Status

Open: Suppliers > Create & Amend Accounts > Amend Supplier Status

To change the hold status of a customer or supplier account:

  1. Select the customer or supplier account from the Code, Short name or Postcode lists.
  2. To put the account on hold, select On Hold.
  3. Click Save.

Hide a customer or supplier account

Open: Customers > Customer List > Account Status

Open: Suppliers > Supplier List > Account Status

  1. Select the customer or supplier account from the Code, Short name or Postcode lists.
  2. Set the Active Status to Hidden.
  3. Click Save.
