Maintain analysis codes (Stock Control)
Analysis codes are extra pieces of information that you can add to stock items and stock transactions. Each analysis code has two parts; a Code for the type of information and a set of Values that can be applied to each item or transaction.
You create your analysis codes in Accounting System Manager and then choose which ones to use for stock items and stock transactions here.
For your stock items, you can use analysis codes as a way of classifying your stock items so that you distinguish between them.
Once you have chosen the analysis codes to use for your stock items, you set a value on each stock item (Analysis tab). If you don't want to use a code for a particular item, then leave the value blank.
For example, you could use analysis codes to record the commodity code of a stock item. Although the stock item record has a commodity code option, this is specifically designed to be used for the commodity code used on an Intrastat declarations. Analysis codes are a good way of adding other commodity codes such as the ones used for export documents.
Another example where you use the codes to distinguish how they are stored. If you keep some items in ambient storage and others in a cold store, you use analysis codes to distinguish between these items. You could then run reports to make sure that cold store items are located in your cold store warehouse.
You can add analysis codes to the transactions as goods are moved in and out of the warehouse. You can use them to filter your stock transactions on reports and workspaces. For example, you could use analysis codes to note which Sage 200 user entered the stock transaction. You can then run a report to confirm that the stock movement amounts are as expected.
Once you have specified the analysis codes, you can enter the Value for each analysis code on the Analysis tab when entering the transaction. If you do not want to use an analysis code on a transaction, leave the Value blank. If the code has a Default value set in Accounting System Manager, this value is added to the transaction automatically.
Note: You cannot change the analysis code on stocktake transactions or on stock opening balance transactions. For these transactions, the default value is used if one has been set up.
Choose the analysis codes to use for stock items
Open: Stock Control > Stock Maintenance > Maintain Stock Analysis Codes | Stock Items.
- Select a blank row in the Name column, and select an analysis code from the drop-down list.

If required, enter a different Field Label.
The field label appears as the Analysis Code on the stock item, as criteria on stock reports, and as a column label in workspaces.

Select Mandatory if all your stock transactions must use this analysis code.
To make a code Mandatory, you must have specified a default value for this analysis code in Accounting System Manager.
If a code is Mandatory, you cannot save a stock item without specifying a value for this analysis code.
