Use analysis codes with nominal accounts

About analysis codes

You can use analysis codes to record information specific to your business on your nominal accounts.

You can use them as an additional custom field on a record or for more in depth reporting and analysis. You could use analysis codes to provide an extra level of analysis, in addition to cost centres and departments.

Things to consider

  1. Do you always want to record a value for some codes?

    You may want to do this if all you want to make sure a value is stored on all nominal accounts.

    To do this, you choose a value to be the default and then choose the make the code Mandatory.

  2. Do you want to allow users to record free text values?

    These are just one off values that can't be reused. This can be useful if you use analysis codes to capture information only relevant to individual accounts.

    To do this, you can create a blank value. If Enter Free Text is selected, each user can enter the relevant information on an account when required.

  3. Do you want to allow users to create new values when creating accounts?

    You might want to allow this where a value won't be known until a particular account is created. You might not want to allow this where you only want to use a specific set of predefined values.

  4. Don't want to set a value on some accounts?

    As long as the code isn't Mandatory, you can just leave the value blank.

Set up analysis codes

Create analysis codes

First you must create the analysis codes and values that you want to use. These are created in one place and can be used across all of Sage 200. You then choose the specific codes for your nominal accounts. This allows your to share codes across modules. This is also where you set any default values.

Open: Accounting System Manager > Settings > Maintain Analysis Codes.

Choose which analysis codes to use with nominal accounts

Here you choose the codes to apply to nominal accounts. If you're using the same analysis codes across several modules, you can change the label to make it more specific to nominal accounts.

Open: Nominal Ledger > Utilities > Ledger Set Up > Maintain Analysis Codes.

  1. Select a blank row in the Name column. Select a code from the drop-down list.
  2. If required, enter a different Field Label.

    The field label appears as the Analysis Code in the account, as criteria on reports and as a column label in workspaces.

  3. Select Mandatory if all your accounts must use this analysis code.

    To make a code Mandatory, you must have specified a default value. If a code is Mandatory, you cannot save an account without specifying a Value.

Add to your nominal accounts

Open: Nominal Accounts > Enter New Account | Analysis.

Open: Nominal Accounts > Amend Account Details | Analysis.

Just choose the values that you want to use for each code. If a code doesn't need to be applied to a particular account, then just leave the value blank.

Note: You can also apply analysis codes to accounts when you generate nominal accounts for existing cost centres and departments.

Reporting on your analysis codes

Analysis codes can be viewed or used as criteria on the following reports, lists and workspaces:
