Stock items

You'll need to create a record for each stock item that you want to keep track of in Sage 200.

You might create stock records for:

  • Physical items that you keep in stock, and also for items that you order direct from your suppliers.

  • Services, time or labour, that you want include on customer invoices.

What's in a stock item?

Each stock item has a unique code and name. We recommend that you consider the code that you use for your stock items carefully. By default, your stock item code is used on sales invoices and orders and purchase orders; but alternatively, you can choose to display a longer item description, the manufacturer's part number, or the supplier's stock code.

All stock items belong to a product group (set in the Sage 200 desktop). The product group is used to group together stock items that have similar characteristics or requirements.

Each stock item has default settings that are used each time the item is bought or sold. The stock item will inherit some of its settings from the product group, and stock transactions will also inherit details from the stock item.

Product group

These properties are set in the product group, and they are fixed for all stock items in that group:

  • Product type.

  • Costing method.

  • Keep movement history.

  • Allow negative stock.

  • Units of measure, use of multiple units for sales and purchases.

  • Items use batch or serial numbers.

    All stock items must be traceable, but individual items can be set to use either batch or serial numbers.

    A sale may only be from a single batch can only be set in the product group.

  • Search categories available for items in the group.

These properties are set in the product group, but can be amended for each individual stock item:

  • Stock unit.

  • Label printing option.

  • Nominal accounts.

  • Landed costs.

  • Use item description on orders and invoices.

  • Cost heading.

Stock item

The stock item inherits some properties from the product group.

You can set these properties for the stock item only:

  • Location.

You can set these defaults for your transactions in the stock item:

  • Nominal accounts.

  • Landed costs.

  • Use item description on orders and invoices.

  • Analysis codes.

  • VAT rate.

Transaction

The transaction inherits some properties from the stock item:

  • Nominal accounts.

  • Landed costs.

  • Analysis codes.

  • VAT rate.

To create stock items, you will need to set up the following (in the Sage 200 desktop):

  • Units of measure for your stock items.
  • Search categories, if you intend to search for stock items using categories.
  • Product groups.
  • Warehouses (stock locations).
