View invoices and credit notes

Open: Invoicing > Enquiries > View Invoice or Credit Note.
Open: Invoicing > Invoicing List, then select invoice(s) or credit note(s) and click View.
How to
Choose what to view
You must view invoices and credit notes separately. You can view invoices or credit notes from both Sales Orders and Invoicing.

To use View Invoice or View Credit Note:

Open Invoicing > Enquiries > View Invoice, then select the invoice and select View Invoice.

Open Invoicing > Enquiries > View Credit Note, then select the credit note and select View Credit Note.

To use the Invoicing List:

Open Invoicing > Invoicing List.

Highlight the required invoices or credit notes from the Invoicing List and click View.

If you've selected multiple invoices or credit notes, use to go the next invoice or credit note.

Check nominal accounts and VAT rates
The details of each line on the invoice or credit note are shown in the grid. The quantities and prices are always shown. The grid has two views:
- Main - shows the discount and VAT rate for each line.
- Nominal and Units - shows the nominal accounts for each line.
The Nominal & VAT tab shows the total values per nominal account and per VAT rate.
Check linked orders or returns (sales orders only)
To check the sales order that an invoice line originated from, just click View order.
To check the sales return that a credit note line originated from, just click View return.
Check analysis codes
Analysis codes are additional custom fields that you can set on the whole invoice, and also on lines in the invoice.
- To view analysis codes for the whole invoice, select the Analysis Codes tab for the invoice.
- To view analysis codes for items in an invoice, choose to Edit the invoice item then select Analysis Codes.
If you don't want to apply an analysis code, leave the analysis code Value blank.
Check payment details
- For invoices created from sales orders, check payments from the original order. Just click View order.
- For other invoices, select the Payment With Invoice tab.
Change the invoice or credit address
You can check the invoice or credit address on the Delivery & Invoicing tab. The invoice address is taken from the customer's account.
- If the invoice or credit note hasn't been printed, change the address on the customer's account.
- If the invoice or credit note has been printed, you can do this by reprinting it. Select Reprint and choose to Amend details.
Check the invoice profit
- To see the profit per line, edit the line and click the View Line Profit button.
- To see the profit for entire invoice, click the Invoice Profit button an any tab.
View invoice or credit note from cloud document storage
If the invoice or credit note has been printed (or emailed) and saved to your cloud document storage, you can view it in PDF format.
Open: Invoicing > Invoicing List, then select a single invoice or credit note and click View in Document Storage.

Useful info
About invoice profit
The profit that you make on your invoices can only be viewed here or from the profitability reports.
It's calculated on a line by line basis and so doesn't include invoice or invoice value discounts.
Only users who have permission to do so, can view the profit. You set this per user in the User permissions. This helps you control who can see the profit you make on each invoice. This is not set by default, so if you want users to see the profit, you need to set it up for each user.
The Profit value is the difference between the cost of the stock item and the sales value.
The Profit Percentage is calculated differently depending on your stock control settings. It uses the sale value (selling price multiplied by the line quantity) and cost value (cost price multiplied by line quantity) for each line.
You can decide how you want this percentage profit to be calculated in the Stock Control Settings | Options tab. Choose whether to show it as:

A percentage of revenue.
100 * (sale value - cost value) / (sale value).

A percentage of cost.
100 * (sale value - cost value) / (cost value).
You sell 5 items with a cost price of £10 each (£50) and a sale price of £15 each (£75).
Profit calculation method | Profit |

Fix it
Can't see the reprint button?
The Reprint button isn't shown for invoices or credit notes that haven't been printed yet. These have a status of Draft.
Can't see the Payment With Invoice tab?
The Payment With Invoice tab is only shown for invoices or credit notes created from the Invoicing module. Payments entered with Sales Orders can be checked from the original sales order.
Can't see the Profit buttons?
You must have the correct permissions to change see the profit made on an invoice. You set this on the Invoice and order user permissions.
