Customer credit notes
When you print your credit note documents outside of Sage 200 and only want to record their details there are two ways to do this: as a single credit note or as a batch of credit notes.

Single credit notes
To enter single credit notes you simply add the details of one credit note and then immediately post it to the relevant customer account. When you record credit notes using this single-step approach:
- You cannot detail individual invoice items on these credit notes. They contain a Total Goods Value figure but no individual item breakdown.
- You cannot print the credit note document from Sage 200.
- You post the credit note transactions directly to your nominal accounts.

A batch of credit notes
When you enter a batch of credit notes you first create a batch header record in which you specify the number of credit notes to be input and their total value. You then enter the details of the individual credit notes and Sage 200 ensures that the number of credit notes and their total value matches what you specified on the header record.
This ensures accuracy when you enter a number of credit notes.
Should you record single credit notes or input a batch?
If you have a single, or very few, credit notes to record simply add each of them as individual records. Where you have a lot of credit notes, entering them as a batch can help reduce errors. When you input as a batch you create a batch record in which you specify the number of credit notes being entered and their total value. Sage 200 then ensures that the number of invoices and the total value of the batch matches the values quoted on the header record.

Note: You cannot record a credit note for a customer whose account has been placed On Hold.

- Allocate the credit note to the original invoice.
- If the customer requires a refund, enter the details of the refund and allocate the credit note to the refund. If the customer payment was not allocated to the original invoice you should match those too.
