Add a location to a stock item

All item types (Stock, Miscellaneous, Service / labour) require a location. The location indicates where the item is stored.

How to

Choose a warehouse for a stock item

  1. Select the stock item.
  2. Click Add in the Warehouses section.

    The Add Warehouse for item window is displayed.

  3. Select the Warehouse used to store the stock item.
  4. Enter the stock levels for the item at that warehouse; Re-order, Minimum and Maximum.
  5. If the stock item is a Built item, enable Default manufacturing warehouse if this warehouse should be used by default to store the built item.

    When you assemble and Record Built Items, they're added to this warehouse by default.

    Note: This setting is only visible for Built items.

  6. Click OK to save the information. The window closes and you return to the Stock Item Location window.

Set stock levels

You can specify the stock level required in the warehouse for each item.

The minimum and maximum levels are just for your records. You'll see a warning when stock levels go above or below the amount set here.

The re-order level is used by the Generate purchase orders option. Purchase orders are automatically created when stock level falls below the amount specified here.

  1. Select the stock item.
  2. Select the warehouse Name.
  3. Click Edit in the Warehouses section.
  4. Enter the stock levels for the item at that warehouse; Re-order, Minimum and Maximum.
  5. Click OK.

Add bins for a stock item

These allow you to specify a place in a warehouse where stock is stored such as a shelf or aisle.

Every warehouse has a single bin created by default called Unspecified. If you don't want to use bins with your warehouses, all items are stored in the Unspecified bin. You can rename the Unspecified bin to something more meaningful for your company.

If your stock items are stored in more than one place in a warehouse, then you add the required bins on the stock record.

  1. Click Add in the Bins at WAREHOUSE section.
  2. Enter the Bin name.
  3. Enter the Allocation Priority from the drop-down list.

    If this stock item is stored in more than one bin in this warehouse, the stock is allocated in order of bin priority (from 1 to 9).

  4. Click OK. The window closes and you return to the Stock Item Location window.

Remove a warehouse

You can remove a warehouse linked to a stock item provided the stock item has a zero balance, no allocations or outstanding orders.

  1. Select the stock item.
  2. Click Remove in the Warehouses section.

Remove a bin

You can delete a bin provided the stock item linked to the bin has a zero balance, no outstanding allocations and no outstanding orders.

Bins can be deleted on an individual basis or you can delete all bins in a warehouse.

Note: There must always be at least one bin associated with each warehouse, so can't delete the last bin.

Add a warehouse to multiple stock items

If you need to add a location to a large group of stock items, you can do this by using an import file, rather than having to amend each individual stock item.

  • Use Add Locations to Stock Records to quickly add the same warehouse locations to a group of stock items. This is useful when you have created a new location and want to add that location to a large group of stock items.

  • Use Import Stock Record Locations to add or update warehouse locations for stock items, and set stocking levels. This is useful when you want to add locations to stock items on a more individual basis.

Useful info

What if I'm not using multiple locations?

If you are not using multiple locations, the stock item is stored in a Home warehouse and Unspecified bin by default. If required, you can change the name of the bin.

Note: Location settings are not applicable for a phantom item assembled using a bill of materials (BOM).
