Enter analysis codes for the whole quotation

To apply analysis codes for the whole quotation:

  1. Select the Analysis Codes tab.

  2. Enter the analysis codes.

    • Select the Value for the analysis codes as required.

    • If you have set a Default value for an analysis code, the default value will already be selected.

    • If you don't want to set an analysis code value, leave the value blank.

    Note - information

    You can't enter new analysis codes or enter free text for analysis codes in the Web Portal yet. If you need to do this, you will need to use the Sage 200 desktop.

Enter analysis codes for a line in a quotation

To apply analysis codes for individual items in the quotation:

  1. Select the Quotation Details tab.

  2. Select More actions > Analysis codes for the item.

  3. Enter the analysis codes for the item.

    • Select the Value for the analysis codes as required.

    • If you have set a Default value for an analysis code, the default value will already be selected.

    • If you don't want to set an analysis code value, leave the value blank.

    You can't enter new analysis codes or enter free text for analysis codes in the Web Portal yet. If you need to do this, you will need to use the Sage 200 desktop.

View analysis codes in the Sales Order List

Analysis codes can be added as additional columns to the Sales Order List.

Open: Sales Orders > Sales Order List

  1. Select the Menu button menu in the column header, then select the Columns button columns button.
  2. Select the columns to display from the Analysis section.

About analysis codes

Analysis codes are custom fields that you can associate with sales documents such as sales orders, returns, quotes. You can also use them to filter or group your sales documents on reports (in the Sage 200 desktop).

For example, you could use analysis codes to specify which sales person has sold the goods, or to specify which branch or region placed the sales.

Each analysis code has a Name to describe the type of information, and a set of Values that you can choose for that analysis code. For example, a Sales person analysis code could have a set of values; Janet, Tim and Ben. You choose a Value for each analysis code, or leave the Value blank if you don't want to set a value.

You can have 20 analysis codes for each area.

Each analysis code has two parts:

  • A code Name or Field Label.

    This is a label that tells you what information the analysis code will be used for, so you know what information to enter. For example, if you want a breakdown of your sales by region, you might create a code label of Region.

  • A Value.

    The value is information that you want to record for the analysis code. The value can be chosen from predefined values that you set up for the analysis code. For example, if you have created an analysis code of Region, the values could be South East, South West, Midlands, Wales.

Analysis codes can be added to:

  • A whole sales document (order, return, quotation), on the Analysis Codes tab.

  • Individual item lines, by editing the item and selecting More actions > Analysis codes.


Questions

No values available for an analysis code?

If you don't see any values listed for an analysis code, that's because predefined values haven't been set for that analysis code yet.

You can set up values for the analysis codes on the Analysis Codes screen in the Sage 200 desktop (Settings > Organisational and Financial > Analysis Codes).

Can't enter a free text value or add a new value?

You can't enter new analysis codes or enter free text for analysis codes in the Web Portal yet. If you need to do this, you will need to use the Sage 200 desktop.

Wrong value is selected by default?

If the wrong Value is always selected by default for an analysis code, then you can change this by setting a different value as the Default.

If the predefined Value itself is incorrect, then you can also change this by adding or updating a Value for the analysis code.

You can change values and settings for analysis codes on the Analysis Codes screen in the Sage 200 desktop (Settings > Organisational and Financial > Analysis Codes).

Names shown as 'Analysis Code x'?

The analysis codes are named Analysis Code 1 to 20 by default.

If an analysis code still has its default name, it could mean that it has not been set up yet and so may not be ready to use.

You can change the name labels for analysis codes on the Analysis Codes screen in the Sage 200 desktop (Settings > Organisational and Financial > Analysis Codes).
