How to

Print quotations

Once you've entered a quotation you can print it and send it to the customer.

Open: Sales Orders > Quotations > Print Quotations

  1. Choose which quotations you want to print.

    • Select All quotations to show all quotations.

    • Select Range of quotation numbers to show a group of quotations by their document number.

    • Select Range of quotation dates to show a group of quotations by their document date.

    • Select Single customer to show quotations for a particular customer.

  2. Select Display Items to show a list of the quotations to be printed.

The list initially displays quotations that have not been printed and have not been completed (converted), so they will have a status of Live or Lost.

To display completed or printed quotations:

    • Select Show completed (converted) quotations to show quotations that have been converted to an order or pro forma. These quotations have a Completed status in the list.

    • Select Show printed quotations to show quotations that have been printed. These quotations have a Printed status in the list.

Note: If you amend a quotation after it has been printed, the quotation print status is changed back to Not Printed.

Note: You won't be able to Show completed (converted) quotations or Show printed quotations when you choose to show All quotations. To show completed or printed quotations, select Back or Reset to select different criteria.

  3. Select all the individual quotations you want to print, then select Print.

The documents are produced as a PDF file. You can then view and print the document, or download it to your device. You can also view your document later from the print spooler. See Print reports and documents from the spooler.

Useful info

Quotation status

A quotation can have a status of Live, Completed, or Lost.

  • Live: The quotation has been saved, but has not yet been converted to a sales order or a pro forma invoice.

You can amend a Live quotation.

  • Completed: The quotation has been converted to a sales order or a pro forma invoice.

You can't amend a Completed quotation.

  • Lost: You can manually set a quotation as Lost if the customer doesn't want to proceed with the quotation. This prevents the quotation from being converted to a sales order or pro forma invoice.

You can amend a Lost quotation.

To change the quotation status, amend the quotation and set the Quotation status to Lost or Live.

Troubleshooting

Items could not be accessed as they are in use by another user

You cannot print items that are in use by another user, for example if someone else is currently editing the quotation.

  • If you want to try again to process these items, the other user must first stop working with the items. Once they've finished working with the items, select Retry.

  • If only some of the items were in use by another user, then you can choose not to process those items, and only process the items that aren't in use. To do this, select Continue Without These Quotations.

  • To stop without processing any items, select Cancel.

If the items are reported as being in use by another user, but that user isn't currently working with them, the user may have a disconnected login that is locking the items. To fix this, see Clear disconnected logins.
