View stock item balances

Open: Stock Control > Enquiries > Stock Item Balances

  1. Select the stock item Code.

  2. View the item's Trading Quantities:

    • Sold this period, Sold last period: The number of items sold in this trading period and your last period. This shows the cumulative amount sold, calculated from when you last reset the trading values. If you've never reset the trading values, this will be your year to date figure. The quantities are updated when sales orders are despatched.

    • Direct delivery on order: The number of items on order that will be delivered directly from the supplier.

    • Bought this period, Bought last period: The number of items bought in this trading period and your last period. This shows the cumulative amount bought, calculated from when you last reset the trading values. If you've never reset the trading values, this will be your year to date figure.

  3. Check what you've got in stock:

    • Warehouse Balances: This shows the item's stock level in each warehouse. Any amounts shown in the Returns warehouse are for items that you've sent back to a supplier.

      • The Quantity on order shows what's been ordered but hasn't yet been received.

      • The Quantity allocated shows what's allocated to a sales order, internal area or customer (free of charge).

      • The Free stock shows what's in stock and available to allocate (this is the Quantity in stock minus Quantity allocated).

    • Bins at Warehouse: Select a warehouse to view the item's stock level in each warehouse bin.

      • You can also check the date of the Last stocktake.

    Note: The terms Warehouse and Bin can be customised, so they might have different names in your Sage 200 company. You can customise these by setting Configurable names in Stock Control Settings (in the Sage 200 desktop).

View item history

To view the stock item history, such as stock movements, select the Stock Item History from the Useful Links.

View item details

To view the details of the stock item, select View Stock Item from the Useful Links.
