00:00:00.000 --> 00:00:07.980
hello and welcome to this Sage 200 Standard online
video on how to create a stock item in this video

00:00:07.980 --> 00:00:15.120
I'm going to show you how to create a stock item
there are three different types of stock items you

00:00:15.120 --> 00:00:21.840
can have a standard stock item this is a physical
item of stock which you purchase in and also sell

00:00:23.460 --> 00:00:30.420
you can have a miscellaneous stock item this
is something that you may buy in but don't

00:00:30.420 --> 00:00:36.480
sell a good example of this is if you're a
car garage you buy in lots of motor oil but

00:00:36.480 --> 00:00:41.400
you don't necessarily sell it and you possibly
don't even track how much you've got left you've

00:00:41.400 --> 00:00:46.800
just got a big drum of motor oil and you use what
you need this would be a miscellaneous stock item

00:00:47.880 --> 00:00:54.900
you also have service stock items service items
or when you provide service to your customer you

00:00:54.900 --> 00:01:01.380
don't buy these in so you can't order them
but you do need them to appear on an invoice

00:01:01.380 --> 00:01:08.820
so using my car garage analogy again the service
item would be the car mechanic changing the oil

00:01:09.540 --> 00:01:15.540
so the oil would be a miscellaneous item the
mechanic doing the oil would be the labor element

00:01:16.440 --> 00:01:23.460
moving on to the demonstration to create a stock
item choose stock control and then stock list

00:01:25.740 --> 00:01:32.580
you can create it from the new item option along
the top or from stock records enter new stock item

00:01:37.020 --> 00:01:41.100
first thing you'll need to do is give your
item a code you cannot change this code at

00:01:41.100 --> 00:01:46.560
a later date we would suggest that you
get a naming convention and stick to it

00:01:46.560 --> 00:01:49.740
these could be numbers or
they could be alphanumeric

00:01:50.760 --> 00:01:55.860
in this example I'm going to sell some
chairs more specifically some office chairs

00:01:57.600 --> 00:02:11.160
so my code is off chair one the name office
chair one we now need to assign a product group

00:02:12.240 --> 00:02:17.280
click your drop down and choose your product
group and as you'll see it assigns all the

00:02:17.280 --> 00:02:22.140
defaults from the product group to this stock
item the product type which can't be changed

00:02:22.140 --> 00:02:29.940
and set by the product group settings the stock
unit the vat rate and also the stock take cycle

00:02:31.080 --> 00:02:36.180
well you'll also notice is the costing method is
assigned and grayed out if you need to change any

00:02:36.180 --> 00:02:39.840
of the options that are grayed out these
need to be done at a product group level

00:02:40.680 --> 00:02:45.600
complete your item description and if you'd
use like to use the item description on orders

00:02:45.600 --> 00:02:50.100
and invoices use the tick box otherwise
it'll pick up the name of the stock item

00:02:52.860 --> 00:02:58.560
the analysis tab allows you to add any analysis
codes to the stock item the default nominal

00:02:58.560 --> 00:03:01.860
codes again are picked up of the product
group but they are changeable at this level

00:03:02.760 --> 00:03:08.460
commodity code is used when you're using interest
app and selling across the continent into the EU

00:03:09.840 --> 00:03:14.640
the weight is important if again you're
using interestat and again if any of these

00:03:14.640 --> 00:03:18.960
tick boxes are relevant for this stock item
make sure that you select them at this point

00:03:20.700 --> 00:03:25.860
the supplier tab is used if you have a preferred
supplier for this item so I'm going to quickly

00:03:25.860 --> 00:03:32.700
show you how to add a preferred supplier choose
add pick the supplier in which you buy from

00:03:34.860 --> 00:03:39.300
and populate the rest of the information
from the suppliers tab so you've got the

00:03:39.300 --> 00:03:45.000
supplier stock code so this is a stock code if
the supplier has something different to yourself

00:03:46.020 --> 00:03:51.360
the lead time so if you order it how long does
it take to get here this is good if you've got

00:03:51.360 --> 00:03:56.220
a sales order and you need to raise a purchase
order to satisfy that demand it's nice to know

00:03:56.220 --> 00:03:59.700
how long it's going to take to come in
so you can keep your customer informed

00:04:01.020 --> 00:04:05.220
populate a usual order quantity if you've got
an amount that you always buy from this supplier

00:04:10.200 --> 00:04:14.340
and populate a minimum order quantity if they
stipulate that you must buy a certain amount

00:04:16.800 --> 00:04:21.120
if a supplier has a list price that he's
given to you so a special price populated here

00:04:23.460 --> 00:04:25.500
and the price source is whether you're going to

00:04:25.500 --> 00:04:28.680
be using the list price or a last
buying price on your purchase order

00:04:30.600 --> 00:04:36.360
if your price list has an expiry date populated
here and the last order price you can be populated

00:04:36.360 --> 00:04:41.880
here but this will automatically come through
once you've raised an order Alternatives these

00:04:41.880 --> 00:04:45.720
are stock items that are similar to the one that
you're creating and can be offered to customers

00:04:45.720 --> 00:04:51.360
as an alternative if you run out so this is an
office chair with adjustable height and lumber

00:04:51.360 --> 00:04:55.140
support an alternative might be an office chair
with adjustable height but no Lumber support

00:04:55.800 --> 00:05:01.680
which case you can add that in at this point the
advantage of doing so is when you're raising a

00:05:01.680 --> 00:05:07.500
sales order and the stock item is out of stock
you can select an alternative at that point

00:05:10.140 --> 00:05:14.340
moving on to the locations every stock
item must have at least one location

00:05:15.360 --> 00:05:21.240
to add a warehouse in which this stock item
is stocked choose add click the drop down on

00:05:21.240 --> 00:05:25.800
your Warehouse and choose the warehouse
where the stock item is going to live

00:05:27.720 --> 00:05:32.100
the reorder level is the level in which it if it
goes below you must reorder some of this stock

00:05:34.260 --> 00:05:37.680
the minimum is the minimum amount of
stock that you can have in of this item

00:05:38.820 --> 00:05:42.240
and the maximum is the maximum amount
that you can have in of this item

00:05:46.380 --> 00:05:52.020
it will automatically create a bin
in this location for this item if you

00:05:52.020 --> 00:05:56.160
need to change the name of the bin then
you can do so using edit at the bottom

00:05:58.560 --> 00:06:02.760
so in this example I know my chairs
in the showroom but I might want to

00:06:02.760 --> 00:06:06.000
put what part of the showroom it's in upstairs

00:06:09.060 --> 00:06:11.100
next to window

00:06:14.280 --> 00:06:20.100
you may also have been names or
location names or IDs you can put

00:06:20.100 --> 00:06:25.380
populate anything that you need in there
if you'd like to add extra bins you could

00:06:25.380 --> 00:06:28.620
choose add from the bottom so that's if
they could be in more than one location

00:06:30.900 --> 00:06:38.160
you could also add attachments memos
and comments to stock items choose save

00:06:40.680 --> 00:06:46.680
you've now created a stock item thanks for
