Auto selection (stocktake)

Use this to select the stock items that you want to add to a stocktake sheet, using a template or a range of criteria. You can only use the Auto select criteria if you are counting by stock item.

Note: If you selected any stock items before clicking Auto select the items remain selected. If you want to select items which are based on specified criteria only, click Cancel to return to the previous window. Then click Clear All before you click Auto select.

To use auto selection

Open: Stock Control > Adjustments > Manage Stocktake.

1. Select the relevant stocktake list, or click New List.
2. Select the Warehouse from the drop-down list.
3. Select Count stock items and click Display. A list of stock items appears.

4. Click Auto select.

   If you have previously saved a template, choose the template from the list. The criteria in the template are displayed.

   To delete a template, click Delete once the template criteria are displayed.

5. Choose your stock items using the following criteria:

   Select by Product Group	To include items in a specified product group, choose Select items for stocktake by product group. Select the relevant product groups from the list.
   Select by dates	To include items by the date they were last sold, choose Select items for stocktake by the date they were last sold. Enter the Sold since date. To include items by when they are due to have a stocktake, select Select items for stocktake by due date. Enter the Date stocktake due. The stocktake due date is calculated from the stocktake cycle on the stock record.
   Select by stock quantity	To include items based on the amount in stock, choose Select items for stocktake by quantity in stock. Enter the Quantity from and the Quantity to. This is useful if you want to find out what is high or low in stock.
   Select by traceable item type	To include only traceable or non-traceable items, choose Select items for stocktake by traceable type. Select the traceable type from the drop-down list.
   Select items by stock value	To include items based on their value, choose Select items for stocktake by value. Choose whether you want to use their average buying price or their stock value from the drop-down list. Specify how many products you want to include, in the Select top box. This can be used to identify high value items.

6. Choose from the following options:

   Apply	Click this to apply the criteria to the stock items. The stock items matching the criteria specified are selected on the Stocktake List.
   Save	Click this to save the criteria selected as a template. Enter the Template Name and click OK.
   Save As	Click this to save the criteria as a new template. Enter the Template Name and click OK.
