How to
Create a new warehouse
Note: You can only create a new warehouse if you have enabled Use multiple locations in Stock Control Settings.
Open: Stock Control > Stock Maintenance > Locations

Click Add.

Enter a unique Warehouse name.
Note: You cannot use the names Returns and Home, as these are used as defaults by Sage 200.
- Enter a description of the warehouse (optional).

Set the intended use for the warehouse.

Select Use for sales trading if you want to sell stock items from the warehouse in your sales orders.

Don't select Use for sales trading if you do not sell stock from this location. For example, if this location is a warehouse where you store stock before moving it to your shops.

Specify whether the warehouse is Valid for component source in the Bill of Materials module or in Manufacturing.

Enable this option to make the warehouse available in BOM processes, such as trial kitting, allocation, and building items.
The warehouse will also be available in the Works Orders module, although you must also include it in a warehouse hierarchy, using the Maintain Component Warehouses window.

If you don't enable this option, this location will not appear in the list of warehouses available in the BOM module.
If you include it in a warehouse hierarchy, a warning will let you know the warehouse will be ignored by the Works Orders and Planning modules.

Enter the Postal name, Address, Contact, Telephone, Fax, E-mail and Web site address. This is optional.

Select the VAT Country code for the warehouse.
Note: This is used for Intrastat declarations if you are shipping from a warehouse in a different country to a third country.
- Click OK.

Set up a list of internal contacts if you are using Manufacturing modules.
You can set up a list of internal contacts who purchase the items for the warehouses that are used by your manufacturing application. To enter the contact details, click Contact Details.
Note: These are not the contact details of the suppliers who supply the items. Supplier contacts are stored in the Purchase Ledger account.
Amend a warehouse
You can edit all the details for a warehouse at any time, including its name.

You can only amend the default warehouse named Home if you have enabled Use multiple locations in Stock Control Settings.

You cannot use the warehouse names Returns and Home, as these are used as defaults by Sage 200.

If a warehouse no longer allows sales, you can only deselect Use for sales trading if:

There are no sales orders for stock items stored at this warehouse.
If you have entered any sales orders that use this warehouse, all these sales orders must be completed and archived. Cancelled sales orders that use this warehouse must also be archived.

There are no sales order processing users with User Permissions set to use this warehouse as a default location during order entry.

Open: Stock Control > Stock Maintenance > Locations
- Select the warehouse from the list and click Edit.
- Amend the warehouse details as required.
- Click OK.

If you are using all Manufacturing modules
You can set up a list of internal contacts who purchase the items for the warehouses that are used by your manufacturing application. To enter the contact details, click Contact Details.
Note: These are not the contact details of the suppliers who supply the items. Supplier contacts are stored in the Purchase Ledger account.
Delete warehouse
You can only delete a warehouse if there are no stock items linked to it. You can check if any stock items are linked to the warehouse by using the Stock Status workspace.
You cannot delete the last remaining warehouse.
Open: Stock Control > Stock Maintenance > Locations.
- Select the warehouse from the displayed list.
- Click Delete and confirm that you want to proceed.

Warehouses and bins
A location is a record of where you store your stock items.
In Sage 200 you can have two levels of location for your stock:
- Warehouse: A single whole location, such as a building.
- Bin: An area within a particular warehouse, such as a bay, shelf or an aisle.
Note: The terms Warehouse and Bin can be customised, so they might have different names in your Sage 200 company. You can customise these by setting Configurable names in Stock Control Settings.
A Home warehouse is created for you by default. If you don't need to record separate locations for your stock items, just use this for all stock items.
