Record a stock transfer

Open: Stock Control > Adjustments > Transfer Stock.

  1. Select the Stock Item.

    Note: You cannot transfer an inactive stock item.

  2. Enter the transfer details on the Details tab.

    1. In Current Stock Location, select the Warehouse and bin that you want to transfer stock from.

      Note: The terms Warehouse and Bin can be customised, so they might have different names in your Sage 200 company. You can customise these by setting Configurable names in Stock Control Settings (in the Sage 200 desktop).

    2. In Transfer To, select the Warehouse and bin that you want to transfer stock to.

      Tip: To transfer stock to a bin that hasn't been set up yet, select Add New Bin. See Add a new warehouse bin.

    3. Enter the Quantity of stock to be transferred.

      You can enter a quantity of up to five decimal places (except for serial numbered items).

    4. Accept or amend the transfer Date.
    5. Enter an optional Reference or Second reference for the transfer.
  3. If you want to check stock levels for a warehouse:

    1. Select the Stocking Levels tab.
    2. Select the Warehouse that you want to check stock for.

  4. To continue with the transfer, select Save, or select Proceed for batch or serial numbered items.

  5. Batch or serial numbered items only:

    1. Select the box to the left of the Batch no or Serial no column for the items that you want to transfer.

    2. Batch items only: Enter the Quantity required in the item's stock unit.
    3. When dealing with batch or serial numbered items:

      • Use Auto Select to select items automatically to fulfil the required quantity.

      • Select an item from the list, then select Show Details to view details about the item. View Receipts for details of the delivery receipt, such as the supplier name and GRN. View Allocations to see if the item is allocated.

      • Use Refresh to update the allocation and availability of items.

    4. Select Save to continue with the transfer.

      Note: To save changes, the Quantity selected must equal the Quantity required.

Add a new warehouse bin

  1. Select Add New Bin.
  2. Select the Warehouse where the bin is located.
  3. Enter the Bin name.

    Note: The bin name must be unique for this warehouse. The bin name is not case-sensitive, so you can't have two bins called "A1" and "a1".

  4. Select the Allocation priority.

    If this stock item is stored in more than one bin in this warehouse, the stock is allocated in order of bin priority (from 1 to 9).

  5. Select Save to add the bin.

About transferring stock

You can transfer stock between both warehouses and bins.

Sage 200 checks how the transfer will affect the item's stock level at its current and target locations.

You'll see warnings if the quantity requested at the current location:

  • Exceeds the total quantity in stock. This includes free stock and allocated stock.
  • Exceeds the free stock at the store.
  • Causes the stock quantity to fall below the re-order level.
  • Causes the stock quantity to fall below the minimum stock level.

You'll also see a warning if the transfer causes the overall stock quantity to exceed or fall below the specified levels for the stock item in the target location.

You can still continue to transfer the requested quantity, or amend it so that the transfer quantity is inside the stock levels specified for the item. You can only transfer a quantity that exceeds the total quantity in stock, if the stock item's product group is set to allow negative stock.

If the transfer includes allocated items, the allocation requirement remains at the current warehouse. You cannot transfer items with batch or serial numbers that have been assigned to an order or issue prior to releasing the items.

Batch or serial numbered items that are displayed as available during the activity can be allocated or issued by other processes in Sage 200. You will see a warning when you save if you select a batch or serial number that is no longer available. You can also refresh the list before you save, to update the allocation and availability of items.
