How to

View customer transactions

Open: Sales Ledger > Sales Enquiries > Customer Transaction Enquiry

  1. Select the Customer account.

    A list of transactions are displayed for the selected account.

  2. Select a transaction to display its details.

  3. To only show transactions that are unallocated and left outstanding, select Only outstanding.

    Note: You can choose whether this is selected by default by selecting Show outstanding transactions only in Customer Defaults and Settings.

  4. You can view additional details about the transaction on the tabs.

    • Transaction Detail: Shows basic details about the selected transaction.
    • Nominal: The nominal accounts that the transaction was posted to.

      Note: You can only view Transaction Analysis details if you have enabled Allow additional transactional analysis in Customer Defaults and Settings.

    • Allocation Session: The details and amounts of transactions that have been allocated.
    • Allocation History: An overview of allocation sessions, including the dates, allocated amounts and exchange rate information.
    • VAT: A breakdown of the VAT element of the selected transaction.
    • Bank: Bank account information related to the selected transaction.
    • Memo: View memos for the selected transaction. See Use transaction memos.
    Note:
    • These additional details will only be available if the transactions exist and have not been purged from the relevant files.
    • For foreign currency transactions with settlement discounts, you may see rounding discrepancies with the VAT discount and VAT values displayed here.

Use transaction memos

You can add memos to transactions, and choose whether they're active or inactive.

  • To add a memo for a transaction:

    1. Select the transaction.
    2. Select Add Memo.
    3. Select Add to add a new memo line, and enter the Text for the memo.
  • To edit or view a memo:

    1. Select the transaction.
    2. Select Edit Memo.
  • To set the status of a memo as active or inactive:

    1. Select the transaction.
    2. Select Edit Memo.
    3. Select the Active column for the memo to change the status. A tick means the memo is active.

      Note: You might want to set a memo to inactive to show that it's not currently applicable, but don't want to delete the memo.

The transaction enquiry provides a detailed breakdown of each transaction held on the customer's account, for current transactions.
