Add suggested items to a sales order or quotation

Open: Sales Order Processing > Sales Orders > New Sales Order or Amend Sales Order

Open: Sales Order Processing > Sales Orders > New Quotation or Amend Quotation

  • Select the Order Details or Quotation Details tab.

  1. Select Suggested Items to view stock items that this customer might be interested in buying.

    Note: Suggested items aren't available if you've selected the cash account for sales orders, or the prospect account for quotations.

  2. The list of suggested items can show items that are frequently ordered, recently ordered, or are preferred items for this customer.

    • You can filter the list to show frequent, recent, and preferred items.
    • The Source column in the list shows where the suggested item comes from, either Recently, Frequently, or Preferred.
    • The same item may be included in the list more than once; for example, if an item is a preferred item, and has also been ordered recently.
    • The Frequency shows the number of times the item has been ordered, not the total quantity ordered.
    • The Last sales date shows the document date of the most recent sales order that was entered for this item. Note that you may have entered older sales orders with a more recent document date.
  3. To add suggested items, select items from the list and select Add.

    Note: You can add multiple items, and add the same item more than once, for example if you want to add items located in different warehouses.

  4. Enter the details for the item.

    1. Enter a Quantity for the item.

    2. Select a Warehouse, if it is blank.

      You can change the warehouse if required.

    3. The selling unit, price and discount information are displayed once you enter the quantity and warehouse.

      • To amend the price or discount, you must have Override prices and discounts on invoices and order lines set in your User Permissions (in the Sage 200 desktop).

      • You can change the selling units if you are adding a stock item sold in trade units.

  5. Once you've finished adding items to the list, select Add to Order or Add to Quotation.

Show frequently ordered items

You can choose to only show items ordered in recent date range, and when they've been ordered a minimum number of times. For example, you could show items that have been ordered at least 3 times in the last 90 days.

Frequently ordered items are displayed for this customer using the default settings.

  • Enter a date range in Show items ordered in the last (days).

  • Enter the minimum number of times the item must have been ordered in Show items sold at least (times).

  • After you change any settings, select Display to refresh the list.
  • To hide frequently ordered items from the list, disable Show frequent.

Frequently ordered items (and these settings) are only displayed if they are enabled on the Sales Assistance tab in SOP settings (in the Sage 200 desktop). See Enable frequently ordered items for customers.

Show recently ordered items

You can choose to show items ordered in a particular date range. For example, you could show items ordered in the last 30 days.

Recently ordered items will be displayed for this customer, using the default settings.

  • Enter a date range in Show items ordered in the last (days).

  • After you change any settings, select Display to refresh the list.
  • To hide recently ordered items from the list, disable Show recent.

Recently ordered items (and these settings) are only displayed if they are enabled on the Sales Assistance tab in SOP settings (in the Sage 200 desktop). See Enable recently ordered items for customers.

Show preferred items

Any items that have been set as preferred items for this customer will be displayed. You can think of preferred items as 'favourites' for a customer.

  • To hide preferred items from the list, disable Show preferred.
  • After you change any settings, select Display to refresh the list.

Preferred items (and these settings) are only displayed if they are enabled on the Sales Assistance tab in SOP settings (in the Sage 200 desktop). See Enable preferred items for customers.

Show items by product group

  • To show items in a particular product group, use Filter by Product Group to choose the group.

  • To show items all product groups again, select Reset.

  • After you change any settings, select Display to refresh the list.

Why use suggested items?

Suggested items can help you speed up entering a sales order, as you can quickly add items that the customer has previously bought from you.

When you enter a sales order or quotation, select Suggested Items to see items that are specific to that customer.

Suggested items include:

  • Items that the customer has frequently ordered, for example you can see items they've ordered at least 3 times in the last 90 days.
  • Items that the customer has recently ordered.
  • The customer's preferred items (you can think of these as 'favourites').

Enable frequently ordered items for customers

Use this to see items that your customer orders regularly from you as Suggested Items.

Open: Sales Order Processing > SOP Utilities > System Set Up > SOP Settings in the Sage 200 desktop.

  1. Move to the Sales Assistance tab.
  2. Select Use frequently ordered items.
  3. Choose the default settings for showing frequently ordered items.

    • Choose to show items in a recent date range (up to 365 days).

    • Choose to show items when they've been ordered a minimum number of times.

    For example, you could show items ordered at least 3 times in the last 90 days.

    These settings are just the defaults, so they can be changed when you add Suggested Items.

Once you've enabled Use frequently ordered items, the Show frequent option will be displayed when you add Suggested Items.

Enable recently ordered items for customers

Use this to see items that your customer orders regularly from you as Suggested Items.

Open: Sales Order Processing > SOP Utilities > System Set Up > SOP Settings in the Sage 200 desktop.

  1. Move to the Sales Assistance tab.
  2. Select Use recently ordered items.

  3. Choose the default settings for showing recently ordered items.

    • Choose to show items within a particular date range (up to 365 days).

    For example, you could show items ordered in the last 30 days.

    This setting is just the default, so it can be changed when you add Suggested Items.

Once you've enabled Use recently ordered items, the Show recent option will be displayed when you add Suggested Items.

Enable preferred items for customers

Use this to see preferred items that have been set for this customer in Suggested Items. You can think of preferred items as 'favourites' for a customer.

Open: Sales Order Processing > SOP Utilities > System Set Up > SOP Settings in the Sage 200 desktop.

  1. Move to the Sales Assistance tab.

  2. Select Use preferred items.

    This setting is just the default, so it can be changed when you add Suggested Items.

Once you've enabled Use preferred items, the Show preferred option will be displayed when you add Suggested Items.

Set up preferred items

You can set preferred items for a customer, so you can find these quickly when you enter an order or quotation.

To add an individual preferred item for a customer, when you enter a sales order or quotation:

Open: Sales Order Processing > Sales Orders > New Sales Order

Open: Sales Order Processing > Sales Orders > New Quotation

  1. Add a standard item.
  2. Select More Actions menu button More actions > More details for the item.
  3. Select Set as Preferred item, to add this to the preferred items list for this customer.

To set up a list of preferred items for a customer:

Open: Sales Order Processing > SOP Utilities > System Set Up > SOP Settings in the Sage 200 desktop.

  1. Select the customer account.
  2. To add a preferred item, select a blank space in the Preferred Stock Items list.
  3. To delete a preferred item, select the item and select Remove item.
