Company details (sales account)

Enter the customer's name and address details on the Company tab. The account reference, name and address are used for printing customer details on reports, invoices and mailing labels.

Open: Sales Ledger > Sales Accounts > Enter New Account | Company.

Open: Sales Ledger > Sales Accounts > Amend Account Details | Company.

Account codes

The account code can be up to eight characters and consist of letters, numbers or both,

If you have chosen Automatically generate customer numbers in the Sales Ledger settings Options tab, the code must be a number and is created automatically incremented by 1.

If you are manually assigning account references:

  • Use account references of the same lengths to ensure accurate results when searching account records.
  • An account reference can contain both numbers and letters up to eight characters in length.
  • The Sales Ledger does not differentiate between upper and lower case letters so an account reference of abc is considered the same as account reference ABC.

Credit limits

You can set a credit limit on a customer's account to help you control the customer's debt.

Once the customer's account balance is more than their credit limit, any invoices and orders that are entered for the customer are automatically put on hold. You can take them off hold as required, even if the customer's account is still over the credit limit.

You can allow certain users to override this. This is set in the Invoice and Order User Permissions. Once set, the user will see a warning when entering the order or invoice, and they can choose to continue to save it without it being put on hold.

Currency

The currency defaults to the base currency, set in Accounting System Manager.

If the customer account is in a different currency, choose whether the customer will use the Single or Period exchange rate. This only applies to currencies set up to use both single and period exchange rates.

If you are amending customer details, you cannot change the currency.

Address

You can use the City, County and Country boxes if you selected to use segmented addresses on the Operational settings tab within Accounting System Manager System settings.

To see this address in Google Maps, click the icon next to the Address.
