How to
Choose alternative stock items
Open: Stock Control > Stock Records > Enter New Stock Item.

Go to the stock item Alternatives tab.

To add an alternative stock item, click Add.

Select the alternative item and click OK.
Note: A warning is displayed if the selected alternative is a different product type .

To set the preferred alternative, select the item and click Set as Preferred. Preferred items are indicated with Yes in the Preferred column.
Import alternative stock items
If you have a lot of alternative stock items to set up, you might find it quicker to use an import file.
Open: Stock Control > Utilities > Import and Export > Import Alternative Items

Add an alternative stock item to a sales order or quotation
This feature is only available for quotations from Sage 200 Professional 2022 R1 version onwards.
Open: Sales Order Processing > Sales Orders > Enter New Order - Full.
Open: Sales Order Processing > Quotations > Enter New Quotation.
- Enter the order or quotation details.

Select Add Items, and add a Standard item.

If the stock item has alternatives associated with it, choose Select Alternatives and select the alternative item from the list.
Note: The Alerts column will show Yes when stock item alerts have been set up for this activity and customer account. The stock item alert will be displayed when you continue and add this item. See Stock item alerts.
Useful info
About alternative stock items
Use this if you want to suggest an alternative item when this item is out of stock. When the person sees the item is out of stock, they can choose from one of the alternatives you've set up here.
You don't have to set up alternatives, and can just leave this blank if you don't want to use it.
If you set up alternatives, you'll be able to select one of the alternatives when you add a standard stock item to a sales order, quotation, or purchase order.
If there's more than one alternative, you can set one as the preferred item to indicate which alternative to choose first.
Note: If you are using Manufacturing, alternative stock items are not considered by MRP.
