Amend sales orders

You can amend your sales orders depending on how complete the order is and your user permissions.

You cannot change the order number.

To amend sales orders

Open: Sales Order Processing > Sales Orders > Amend Order.

1. Use the Select orders options to display the order(s) you are interested in.

   If you have Project Accounting enabled in Sage 200, you can also search for orders generated in the Project Accounting module.

   Alternatively, click Show All Orders to view every order that has been saved on your Sage 200 system.

2. Select an order from those displayed, and click Amend Order. The order information is displayed.

   Note: If alerts have been set up for this customer account and document type, they'll be displayed before you continue. To view the alert messages again, click the alert icon. See Customer alerts.

3. Select the relevant tab to make changes.

   Order Details

   You can:

   • Change the document dates.
   • Amend sales order lines as long as the order is not Completed.

   • Amend the exchange rate.

     If you amend the exchange rate after entering prices manually, you are prompted to confirm the order prices.

     You can keep the manually entered prices or reset them to those specified in the Price Book.

     However, if you amend the exchange rate for orders generated from another order, quotation, pro forma invoice, the order prices are not updated.

   Delivery and Invoicing

   You can:

   • Change the delivery address.

   • Change the order discounts.

   Analysis Codes

   You can change the analysis codes for the whole order.

   Note: You can only amend analysis codes for the whole order if you have chosen to Allow amendment of - Analysis codes for order header entry, on the Invoice and Order Entry tab of SOP Settings.

   Note - information

   Analysis codes are displayed on the Analysis Codes tab for Sage 200 Professional versions from 2023 R1 onwards, but are displayed on the Delivery & Invoicing tab for Sage 200 Professional versions up to 2022 R2.

   Payment with Order

   Depending on the status of the payment, you may amend the payment value for the order, even for a payment that was received online.

   Note: Any amendment which reduces the value of a payment which was made online, will require a card refund. Any amendment which increases the value of an order made with an online payment, will require additional funds to be drawn from the customer card.

   Amending order values when payments are included

   • If the payment was declared:

     You cannot amend the payment value.

     The order value can be increased and decreased but if the order value becomes less than the payment value, a credit note will be raised for the difference.

   • If the payment was not declared:

     You can increase or decrease the value of the payment or order as long as the value of the order does not become less than the value of the payment.

   • If the payment was made online:

     • If you reduce the value of the order, then you will be prompted to make a card refund. The refund goes to the card that was used to make the payment.

     • If you increase the value of the order, then you will be prompted to draw further funds from the customer card.

       You can use the same card or add a new card for the further payment.

       Note: You must use the same card for payment if settlement discount is being used.

4. Select Suggested Items to see the customer's preferred items, or items that the frequently or regularly order.

Use Invoice Payments

Sage Invoice Payments is a great way for your customers to pay you online, quickly and easily.

Use Sage Invoice Payments to request payments from your customers, using the payment providers Stripe, PayPal, and GoCardless.

You generate invoices with a Pay Now button, then email the invoices to your customers. Your customers then select the Pay Now button to pay the invoice using the payment provider that you've chosen.

After your customer pays the invoice, the transactions can be downloaded and posted in Sage 200.

Invoice Payments integrates seamlessly with Sage 200, making it easier for your customers to pay you, and easier for you to process those payments.

• Select Invoice Payments to get started.

  This button is not displayed if you've already set up Invoice Payments.

  Note: You can only set up Invoice Payments if you have permission to access Cash Book Settings.
