Project reports

Analysis reports

These reports are similar to the enquiries. The reports have additional criteria such as project level and project status. The Customer criterion has been added and you can enable this in Report Designer, using Report > Manage Criteria > Modify.

The by Structure reports display results for the whole project hierarchy. You can choose to use a separator to indent the different levels of the hierarchy on the report. This is set in the Project Accounting Settings.

The by Group reports display results at the selected Grouping level.

Note: The enquiries and reports calculate period budgets differently, depending how your have entered your budgets in your project hierarchy. For more information, see Enter project budgets.

Open: Project Accounting > Reports > Analysis.

The following reports are available:

  • Cost Analysis (by Group).
  • The column, WIP costs is the total WIP value for all transactions included in the row.

  • Cost Analysis (by Structure).
  • The column, WIP costs is the total WIP value for all transactions included in the row.

  • Profitability Breakdown (by Group).
  • To include WIP in the project breakdown, leave the Exclude WIP check box clear. To exclude WIP from the project breakdown, select the Exclude WIP check box.

  • Profitability Breakdown (by Structure).
  • To include WIP in the project breakdown, leave the Exclude WIP check box clear. To exclude WIP from the project breakdown, select the Exclude WIP check box.

  • Revenue Analysis (by Group).
  • Revenue Analysis (by Structure).

Billing reports

Use the billing reports to see details of any cancelled invoices.

Open: Project Accounting > Reports > Billing.

The following report is available:

  • Cancelled Invoices.

Transactions reports

Use the transactions reports to view your project transactions.

Open: Project Accounting > Reports > Transactions.

The following reports are available:

  • Cost Transactions.
  • Within Sage Report Designer, using Report > Manage Criteria > Modify, you can enable the following criteria for the report: Sales Return, SOP Invoice and SOP Credit Note. At the same time, you can also remove existing criteria that you don't need.

    There are two mutually exclusive criteria for WIP:

    Exclude transactions with no WIP value

    If you select this, only those transactions with WIP values are included in the report and the report shows a column WIP costs which is the WIP value for the transaction.

    Show only non-WIP transactions

    If you select this, only those transactions that do not have WIP values are included in the report.

  • Nominal Transactions.
  • Revenue Transactions.
  • Within Sage Report Designer, using Report > Manage Criteria > Modify, you can enable the following criteria for the report: Sales Return, SOP Invoice, SOP Credit Note and Stock Item. At the same time, you can also remove existing criteria that you don't need.

Timesheet and expense claim reports

Use these reports to see details of timesheets and expense claims entered for your projects.

Open: Project Accounting > Reports > Timesheets & Expense Claims.

The following reports are available:

  • Timesheet Summary (by Resource).
  • This lists each resource and the total time that they have worked on each project item.

  • Timesheet Summary (by Project).
  • This lists each project and the total time recorded by each resource on that project.

  • Timesheet Transactions (by Resource).
  • This lists each resource and details of each individual timesheet entry, including the project item, hours worked, timesheet number, status and cost, charge and pay rates.

  • Timesheets Transactions (by Project).
  • This lists each project and details of each individual timesheet entry, including the resource, status and cost, charge and pay rates.

  • Timesheet Transactions (Charges and Costs).
  • This lists each resource and details of each individual timesheet entry, including the project item, hours worked, status, and cost, charge and pay rates.

  • Resource Summary.
  • This lists each resource's time entries and pay, grouped by company, including details of the project and project team, status, hours worked, their pay rate and total pay.

  • Expense Claim Transactions (By Resource).
  • This lists each resource and details of their expense claims, including the expense claim number, project and project item, expense claim details, and the claim value.

  • Payroll Report (by Resource).
  • This lists the hours worked and total pay for each resource, grouped by company.

Setup reports

Use these reports to see a summary of your projects, project items and additional information.

Open: Project Accounting > Reports > Setup.

The following reports are available:

  • Project List.
  • Project List (by Customer).
  • Project List (by Status).
  • Project Item List (Setup).
  • Project Item List (by Project).
  • Project Item List (Integration).
  • Project Item Type List.
  • Additional Information List.

Archived Project reports

Use these reports to see details of your archived projects.

Open: Project Accounting > Reports > Archived.

The following reports are available:

  • Cost Analysis (by Structure) (Archived).
  • Profitability Breakdown (by Structure) (Archived).
  • Revenue Analysis (by Structure) (Archived).
  • Cost Transactions (Archived).
  • Nominal Transactions (Archived).
  • Revenue Transactions (Archived).
  • Project List (Archived).
